Administrative Assistant / Marine Support Specialist

Description of the Position:
As an important team member, you will have the opportunity to excel working in a fast-paced environment meeting time sensitive deadlines in the support of our world-wide customer base.
Duties include supporting management and marine surveyors throughout the marine survey process, from receiving field assignments, supporting the survey staff, completing deliverables, closing files, and preparing customer invoices. The position requires excellent oral and written communications skills with fellow employees, customers, and industry partners.
Sabine is committed to the use of technology, you will use multiple software platforms including Office 365, SharePoint, ERP Jamis Prime, and company proprietorial software.

Subchapter M Marine Surveyor/Auditor

ESSENTIAL DUTIES AND RESPONSIBILITIES1. Conduct marine surveys and/or audits in the field as directed by the Vice President and as required by the company’s ISO Quality Procedures.2. Ensure the timely flow of information to/from clients throughout the survey and/or audit process in the field. Acknowledge receipt of assignment to client when designated, and ensuring preliminary advice is prepared and submitted after completion of fieldwork when required.3. Produce and submit concise, technically and grammatically correct survey and/or audit reports based on the appropriate report template in line with Company procedures and schedules, and the customers’ requirements.4. Assist the Management with handling of customer complaints and adjustment of invoices.  5. Recognize potential new business and bring such to the attention of management.6. Promote company services in the marine industry including visiting clients and participating in industry activities.7. Follow the company’s Health, Safety, Security & Environmental Manual requirements, including participating in monthly safety meetings.8. Pursue personal development through in-house training, appropriate external training opportunities, and joining professional organizations.9. Assist with the management and training of personnel.10. Ensure that proper PPE is maintained and worn at all times.11. Ensure all required equipment is calibrated and in good working order and records maintained as per our Quality Procedures.12. Obtain and maintain proper credentials to enter terminals, docks, and jobsites as appropriate, and maintaining records as required by Company procedures.
REQUIRED EDUCATION AND EXPERIENCE:1. College graduate, maritime college preferred, or equivalent time in marine industry; five (5) years of experience afloat in a licensed position, or five (5) years of experience in marine surveying/inspection field, or five (5) years of comparable marine experience.2. Familiar with 46 CFR Subchapter M.3. Familiar with barge and steel hull repairs 4. Understanding of basic principles of Auditing. 5. Membership of NAMSGlobal preferred but not required. 6. Report and technical writing skills required. 7. Current valid driver’s license.8. Current valid Transportation Worker’s Identification Credential (TWIC)
WORKING CONDITIONS:1. Available/On call 24 hours, 7 days a week.2. Open-air conditions such as noisy, hot, cold, wet, dusty, etc.3. Must wear hearing, eye, head protection, and proper Personal Protective Equipment (PPE).4. Some climbing (40 feet or higher, some unprotected), bending, stooping, and lifting (50 lbs.) involved.5. Working with and in proximity to hot and sometimes hazardous materials.6. Work on marine vessels while afloat or in shipyard settings, walking over uneven surfaces.7. Enter round manholes with inside diameters of 18”, and other internally confined spaces.8. Traverse gangways, ladders, and scaffolding at varying heights.9. Examine cargo, collect evidence or samples, take photographs and access difficult areas.

Ensuring the timely flow of information to/from clients throughout the survey and/or audit process in the field. Acknowledging receipt of assignment to the client when designated, and ensuring preliminary advice is prepared and submitted after completion of fieldwork when required.  3. Producing and submitting concise, technically, and grammatically correct survey and/or audit reports based on the appropriate report template in line with Company procedures and schedules, and the customers’ requirements.4.
